The HR industry is evolving rapidly, and the need for automating routine processes such as resume processing and formatting is growing daily. Globus, a leader in the Russian outstaffing market and owner of the recruiting agency Cerebro, has developed a unique solution – the Resume Converter. This automatic formatting system is capable of handling large volumes of resumes and significantly accelerating the processing workflow. The tool addresses a key challenge for recruitment departments: converting candidate resumes into pre-defined templates, thereby optimizing the work of HR specialists and resource managers.

Problem and task

Resume processing is one of the most time-consuming and repetitive tasks for HR professionals. In large companies that regularly receive hundreds of resumes, a system is needed that can quickly and accurately convert documents into standardized formats. Recruiters must bring information from various file types into a unified and easy-to-use format. Manual processing not only takes a lot of time but also increases the risk of errors. The objective was to develop a solution that could fully automate this process, eliminate manual work, and increase overall productivity.

Solution

The Resume Converter is powered by artificial intelligence and natural language processing (NLP) technologies. Globus’s developers created a system that automatically extracts key information from resumes, regardless of their structure or format. The converter analyzes resumes, identifies important data such as name, work experience, education, skills, and contact information, and then organizes this information into predefined templates. As a result, the system reduces the processing time of a single resume from 10–20 minutes to just 30–60 seconds.

Moreover, the converter solves the problem of handling non-standard resume formats, which is particularly important when dealing with large datasets. Machine learning methods were used in development, improving processing accuracy and enhancing overall performance.

Results

The first version of the Resume Converter demonstrated excellent results. Implementation of the system significantly reduced the time required to process resumes and minimized errors caused by manual data conversion. Recruiters using the system save a considerable amount of time, which can now be redirected toward more meaningful tasks, such as conducting interviews and evaluating candidates.

Additionally, the system quickly proved its value — during a temporary suspension of the converter for maintenance, HR specialists actively expressed dissatisfaction and requested immediate access restoration, confirming just how deeply the tool had been integrated into their workflow.

Project Development

Based on initial user feedback, a second version of the converter was developed. This version features improved data processing algorithms and a more intuitive, user-friendly interface. It also includes new functionalities, allowing the tool to be used not only for processing resumes of external candidates but also for internal company needs — such as analyzing employee resumes for corporate programs.

Looking ahead, there are plans to apply the converter’s technologies to other document processing workflows, such as generating reports or standardizing internal documentation.
